Frequently Asked Questions About Mellwood Art Center Venue Rentals

How long will I have the room?

You will have access to the space from 8:00 AM – 2:00 AM. We recommend ending your party around MIDNIGHT to ensure you are able to clean up and remove all items from the space before the end of your rental period at 2 AM.

Can I extend the rental period?

We do not offer additional hours or extensions of rental periods. We recommend wrapping up events around midnight to ensure you are out by 2:00 AM.

Can I use any caterer?

Mellwood knows that food is an important aspect of any party. As such, Mellwood allows any caterers without charging a service fee. You can even do a potluck style!

Can I bring my own alcohol?

Yes! For private parties, your host liability insurance allows you to supply your own alcohol from any store. Paid bars will need licensed bartenders or a caterer with a permit to sell alcohol. Open bars simply require someone 21 or over to serve drinks.

Does Mellwood supply linens?

No, we do not supply linens. You will need to purchase or rent linens from a separate vendor.

Are candles allowed?

While Mellwood hopes your celebration is lit, we can only allow tea lights (in glass, wick 2 inches below the top) and candles submerged in water in our event rooms. Taper candles are not allowed.

When will I receive my damage deposit back?

Mellwood will contact you within one week if you have lost part of your damage deposit. If you have not been contacted within a week of your event, you should expect to receive your damage deposit back in full. Please allow 30-60 days to receive the check through the mail. It will be sent to the address on the check or address supplied on the contract unless otherwise specified.

Can we hire someone to remove the ceremony chairs prior to our reception?

Need more space for dancing the night away? Mellwood Art Center can supply a crew to remove ceremony chairs for $1 per chair. We recommend you reserve this service at least 30 days prior to the event.

Does my venue come with an ice-maker?

It does not. Our kitchens come with an ice chest for ice bags, and you can usually fit up to 12 large bags.

Is my deposit or any money paid for the room refundable?

It is not.

Can I rehearse the night before?

We highly recommend reaching out to our event director to coordinate a rehearsal time. Rehearsals usually occur on Thursday’s and are free between 1:30 PM – 5:00 PM. After-hour rehearsals are $50 for half an hour and $100 per hour.

Can I take pictures around the facility on my event day?

YES! All common areas are available. Please do not enter other venues where events are being held, and/or use their outdoor space for pictures. Those areas belong to the events using those venues and are private.

Can I decorate the night before?

You have to rent the room for the day in order to decorate the day prior to your event.

Can I pick up my stuff the day after my event? This includes decor, rented items from other vendors, props, lighting, chairs, ETC.

No, all things brought in for the event will have to be removed prior to midnight (12:00 AM). Mellwood Art Center is not responsible for any items left behind after rental is over.

What are the dimensions of the furniture?

All rooms come with a specified number Round Tables, Buffet Tables, and Chairs. A limited number of cocktail tables are available for rent as an add-on to any room.
